IACS Affiliation Instructions

In our effort to support the success of computational science across campus, IACS appoints both on- and off-campus faculty as affiliates of the institute. 

Criteria for consideration:

In order to be considered for affiliation, the nominee’s application must satisfy one or more of the following criteria: 

  • Supports an existing collaboration between the proposed affiliate and a core IACS faculty member; 
  • Catalyzes strong, campus-wide, multidisciplinary connections for research or education (graduate or undergraduate) in computational science; 
  • Catalyzes the growth of externally supported research at the boundaries between disciplines; and/or 
  • Broadens the scope of computing resources or expertise available to IACS or SBU. 

Although affiliations typically for 3 year-terms, all affiliations are reviewed regularly by IACS core faculty, who may elect early termination if the affiliate does not engage in active collaboration.

Nomination process: When nominating a candidate, the core faculty nominator should brief the candidate on the above criteria as well as the requirements listed below. 

  1. The nomination from the core faculty member will be sent to the IACS Administrative Director, and will consist of:
    1. The justification for the nomination with respect to the criteria listed above (1-2 paragraphs)
    2. The Candidate’s CV
    3. Recommendation for IACS Research Theme membership(s)
  2. The IACS Director (or designee) will meet with the candidate to introduce the nominee to IACS, including the IACS Research Themes, and to discuss the nominee’s qualifications, goals for affiliation, and potential for IACS collaboration. The IACS Director will notify the Administrative Director if the nomination is to proceed.
  3. The Administrative Director will send the CV, justification and any other information to the core faculty for a vote on the nomination.

Enrolling the new Affiliate:

If the nomination is approved, the Administrative Director will send a welcome message to the nominee with an agreement letter and approval form. The nominee will be asked to return:

  • The approval memo signed by the nominee and their chair or dean
  • A brief bio with contact information and a photo to post on the IACS website’s Affiliates page
  • Confirmation of the IACS Research Theme(s) selection (which will be forwarded to the theme leader)
  • A list of current grad students and postdoc trainees, with their contact information, so they may be added to IACS rosters including for the grad student Professional Development Program (PDP) and the IACS Student Association. Affiliate Benefits:

  • Limited access to our computer clusters
  • Eligibility for affiliate's students and postdocs to apply for IACS New Recruit and Jr. Researcher awards, writing awards and travel/conference awards
  • Facilitation of research collaboration with IACS core faculty and the opportunity to jointly supervise students of IACS core faculty
  • Inclusion on the IACS mailing list, including invitations to IACS seminars, workshops and events
  • Profile listing on our website  

Affiliate Requirements: 

  • To actively advocate computational science within and beyond the university
  • To actively participate in one or more of the IACS Research Themes
  • To actively participate in the life of IACS, including at least occasional attendance at seminars and offering at least one seminar roughly every 3 years
  • To include IACS affiliation on related publications, to allow a link to your research accomplishments and publications to be listed on our website, and to acknowledge use of IACS resources on research publications.
  • To list IACS on related publications as an additional affiliation. Such recognition facilitates our ability to demonstrate and track our impact.

Expedited affiliation:

At the IACS Director’s sole discretion, IACS may assist departments with new faculty offers through an expedited process that bypasses the core faculty nomination vote. If the candidate is seeking an affiliation with IACS as a condition of employment, the Director will meet with the candidate to determine eligibility and subsequently confirm the IACS affiliation offer. This offer is subject to the same criteria, benefits, and requirements as nominees that joined through the core faculty election process.
